Obsidian, Notion or OneNote for Aviation Work? What to Check

Compare Obsidian, Notion and OneNote for aviation notes: verified offline and linking features, plus source labels, reminders and review criteria.

A note headed “licence renewal” is easy to save and easy to forget. A regulation extract is easy to copy and easy to separate from its amendment date. The useful question is whether your note-taking method helps you find the right material, understand its status and act at the right time.

Obsidian, Notion and OneNote can each be considered for that method. There is no single best note-taking app for every aviation professional. Start with the devices you use, the information you are permitted to keep and the work you need to prepare.

What the official documentation confirms

The following capabilities were checked against official documentation on 24 September 2026. Platform and setup details matter; this is not an exhaustive feature scorecard.

Local files may suit someone who wants to manage their own note folder. Downloaded pages may suit someone already organising work in a workspace. Notebook, page and paragraph links may suit an established notebook habit. Those are workflow preferences, not findings that one product is safer than another.

Note apps are useful, but they are neutral

A link proves that you can get back to a document. It does not prove that the document is current, approved for your task or permitted in your personal storage.

Use the following criteria to assess your chosen setup. These are questions to test, not claims that the three apps lack the features.

Features, templates and integrations may help implement the method. Verify the specific version and configuration rather than assuming a familiar app name answers these questions.

When a note app is enough

For public regulation bookmarks, personal study questions, non-confidential learning notes and reusable blank checklists, a well-maintained note app may be all you need. Keep a source reference beside each interpretation and a clear boundary around employer material. The longer keep-versus-leave list is in what to keep in a personal aviation workbench.

Certificate tracking is not note-taking

Writing a renewal date is only the first step. You also need to know what the date refers to, where the evidence is, when to start renewal and whether the reminder actually reached you. A note app, calendar or structured tracker may support this; test the whole sequence.

Do not invent an expiry date just to fill a field. Record the date and conditions shown by the source document or applicable process. A fictional “renewal due on 1 December” reminder is a workflow example, not a regulatory interval.

Keep drafts separate from decisions

A draft audit observation should identify its source and sampled evidence. A procedure comment should point to the revision reviewed. A learning note should say that it is personal learning. The move into an official record needs the organisation's review and authorisation process, whichever tool held the draft.

Yes. Its local Markdown files and internal links can support personal learning notes. You still need a method for source status, revisions, confidentiality and review.

Should company procedures be stored in a personal note app?

Follow your organisation's permission and storage rules. A personal copy does not become the controlled source just because it is easy to search.
